IMPORTANT: Please read all service descriptions, process, and policies information carefully before making payment. Amount once paid to Penray Publication is Non-refundable, except as explicitly stated in our Refund Policy.
1. Payment & Payment Schedule
Payment Processing:
You may make payment of publishing charges as selected in your publishing package. Payment can be made through multiple methods including credit card, debit card, net banking, UPI, or bank transfer. Once payment is received and processed, we will confirm the same via email within 72 hours.
Payment Structure:
Depending on your selected package, payment may be made in installments:
First Part Payment: Due at the time of manuscript and input submission.
Second Part Payment: Due after final design approval and before printing and distribution.
Refund Policy:
Amount once paid is Non-refundable. However, if you cancel your project before manuscript submission, a portion of the payment may be refundable as per our Refund Policy (refer to separate Refund Policy document). No refunds are provided after the editing sample has been approved or after design work has commenced.
2. Manuscript Requirements & Copyright Policy
Manuscript Format:
We accept manuscripts in the following formats:
Single MS Word file (.docx) - Preferred format
Print-ready PDF file (if formatted professionally)
Language Support:
For Hindi Books, your manuscript must be in Kruti Dev 010 or Unicode format. If your system doesn't have Hindi fonts installed, you can download them from our website. Please ensure proper formatting before submission.
Copyright Compliance:
Your manuscript must meet all Copyright Policies. You are solely responsible for ensuring that your manuscript content is:
Original or properly authorized for use
Not copied from websites, books, blogs, or other published sources
Free from plagiarism and copyright infringement
Content Rewriting:
If you use content from other sources, you must rewrite it in your own language. Simply copying and pasting content from other sources will result in copyright infringement issues. Penray Publication is not responsible for copyright disputes arising from author-provided content.
Proofreading:
Please proofread your manuscript thoroughly before submission. Inputs once submitted cannot be easily changed, so please take utmost care while filling out the Publish Input Form (PIF). You may take help from our Support Team by email or phone during submission.
3. Image & Media Requirements
Image Ownership:
For all images, illustrations, and sketches in your manuscript, you must use content that you own or have explicit permission to use. Never copy images directly from Google Images, websites, or social media, as this may result in copyright infringement proceedings.
Copyright-Free Image Sources:
If you do not have your own images, you may use:
www.pixabay.com - Free, high-quality images
wikipedia.org - With proper credit links and attribution
Other royalty-free licensed image platforms
Image Verification & Removal:
If we find any copyright-suspected image in your manuscript during submission review, we will cancel the submission and ask you to resubmit after removing the image(s) or providing verification links/license details proving your right to use the image.
4. Editing Service
Editing Payment:
If you have opted for Editing Service in your package, payment for editing is mandatory and must be made with your First Part Payment.
Editing Process:
The editing of your manuscript will be done prior to collection of other inputs (cover design, interior design, etc.). We will send you a sample of 4-5 pages of editing as a PDF highlighting all changes and corrections.
Sample Review & Approval:
You will be required to review the sample editing and approve the quality and style. Your approval of the editing sample marks the fact that you agree with the quality, consistency, and methodology. Once you approve the editing sample, you cannot cancel the project and seek a refund.
Full Edited Manuscript:
After sample approval, we will complete the full editing and share two files with you:
PDF highlighting all editing changes and corrections
Edited MS Word file for your review and final approval
Final Manuscript Submission:
After reviewing the edited manuscript, you may make additional changes in the edited MS Word file if desired. You will then send the final MS Word file to us to proceed with design and production.
Editing Scope & Disclaimers:
Please note the following about our Editing Service:
Editors focus on grammar, spelling, punctuation, and consistency only. We do not edit for subjective content, factual accuracy, or narrative changes.
Editing accuracy is maintained at 95% and above per industry standards. We recognize that human and clerical errors may occur despite careful review.
We disclaim warranty for subjective-based content or factual accuracy. You are responsible for content accuracy.
For 100% customization or more comprehensive content editing, we recommend opting for our Higher Priced Packages.
5. Cover Design Service
Cover Image Selection:
For cover page images, you will have an option to make selections from www.shutterstock.com (Paid Image Library with Full Customization available). Alternatively, you may provide your own cover image or brief design concepts.
Design Services:
Our professional designers will handle the following design elements:
Front Cover: Font selection, text placement, styling, alignment, and image cropping
Back Cover: Positioning of elements, text, email ID, author photo, description, and barcode
Design decisions are made by our professional designers matching international design and print standards.
Your Inputs:
The following inputs will be collected from you for cover design:
Book title and subtitle
Author name and bio
Book description/tagline
Design preferences and theme ideas
Author photo or cover image preferences
Customization Limitations:
We do not support unlimited customization in cover and interior design unless included in your selected package. For unlimited customization options and additional revision rounds, please opt for our Higher Priced Packages.
6. Interior Design & Typesetting
Design Delivery:
After receiving your cover design inputs, we will send you a designed interior MS Word file for review. You are eligible to make changes in the designed interior MS Word file yourself and submit the final MS Word file to us for printing and distribution.
Font Support:
We support only limited fonts for interior typesetting due to our international printing plants' technical capabilities. Fonts other than those specified may not be available in all printing locations. This ensures quality consistency across all printing facilities worldwide.
7. Pricing & MRP Setting
Price Setting Timeline:
The selling price of print books and eBooks will be finalized at the design stage, after receiving your final interior design approval.
Minimum Selling Price (MSP):
We will suggest a Minimum Selling Price (MSP) based on your book specifications (page count, format, binding type, paper quality, etc.). You may quote any price above this MSP according to your preference.
Domestic Pricing:
You can set customized prices for Indian seller sites (Amazon.in, Flipkart, etc.) as per your choice.
International Pricing:
International prices (USA, UK, Canada, Australia, etc.) are set automatically by the distribution system to provide you with equivalent royalty earnings as compared to Indian sales channels.
Royalty Structure:
100% of profit (selling price minus production and distribution costs) is paid to you as royalty on all sales, regardless of market or distribution channel.
8. Publishing Process & Production Timeline
Final Approval & Payment:
After receiving your final MRP, revised interior file, and design approval, we will share the final Print-on-Demand (POD) file with you for final verification. This is your last opportunity to review all elements before printing. You will be asked to make any remaining Second Part Payment (if applicable) at this stage.
Printing & Distribution:
After receiving full final payment, your book will be forwarded for printing and distribution to worldwide platforms as both print and eBook versions as per your selected package.
Distribution Channels:
Your book will be distributed to:
Major Indian online retailers (Amazon India, Flipkart, etc.)
International online retailers (Amazon Global, Google Play Books, Apple Books, etc.)
eBook platforms and digital retailers
Physical retail networks (if included in your package)
eBook Pre-orders:
Pre-order support from Google Play Store (eBook) will also be provided for your book once it enters the distribution stage (if included in your package).
Typical Timeline:
Manuscript submission to design approval: 10-15 business days
Printing & distribution setup: 5-10 business days
Live on retail platforms: 5-20 business days (varies by platform)
9. Author Dashboard & Support
Dashboard Access:
Once your book is completely published and live on retail platforms, you will be granted access to your Author Dashboard. This dashboard provides you with:
Real-time sales tracking and analytics
Royalty calculation and payment history
Book metrics and customer reviews
Support ticket management system
Promotional Support:
Once published, you will receive the following promotional support (as included in your package):
Social media account setup for your book promotion
Standard template-based visiting cards and promotional posters
Author interview featured on our social media platforms
Newsletter mentions and promotional campaigns

10. Royalty Payment
Royalty Calculation:
100% of profit on all sales is paid to you as royalty. Profit is calculated as: Selling Price - Production Cost - Distribution Cost - Platform Commission (where applicable).
Payment Schedule:
Royalties are calculated and paid on a monthly cycle. You will receive royalty updates and payments once your sales reach the minimum threshold of Rs. 1,000 per month.
Payment Method:
Royalty payments are made by NEFT (National Electronic Funds Transfer) or UPI transfer directly to your Indian Bank Account. International bank account payments are not supported at this time.
Payment Threshold:
Royalties are paid monthly only when your accumulated earnings reach or exceed Rs. 1,000. If earnings do not reach this threshold in a month, they will be carried forward to the next month.
Tax Compliance:
Royalty payments are subject to applicable taxes as per Indian income tax laws. We may withhold taxes as required by law. You are responsible for maintaining your own tax records.
11. Complimentary Author Copies
Free Copies:
Complimentary copies of your published book will be shipped to you at no cost once your book is printed and before it goes into retail distribution. The number of complimentary copies is based on your selected package.
12. Additional Author Copies
Order Availability:
After book release, you may order additional copies at production cost + applicable taxes + shipping charges.
Minimum Order Quantity:
The standard minimum order quantity is 30 copies. However, there is also a provision to order smaller quantities (less than 30 copies) by paying additional per-unit charges.
Payment Terms:
Complete advance payment is required for author copies orders. We do not accept partial payments or payment on delivery.
Production Timeline:
Printing of additional author copies may take 7-9 working days. Shipping time will be additional to the printing time.
Shipping Methods:
We can ship your additional author copies only by Speed Post or through our authorized Courier partners. We do not allow direct pickups from printing plants or other informal shipping methods.
Shipping Costs:
On average, approximately Rs. 20 per copy may be applicable as shipping cost for an order of 30 copies. Per-copy shipping costs may increase for orders smaller than 30 copies.
Important Advisory:
If you are planning for any book launch event or public function, please arrange it only after receiving printed copies at your end. Penray Publication is not responsible for any event cancellations or losses due to delayed receipt of author copies.
13. Author Website Service
Website Provision:
If included in your package, we provide a basic HTML/CMS responsive template-based website for author promotion and book sales.
Your Inputs:
For website development, you will need to provide:
Your own domain name (e.g., www.yourname.com)
Selection of a sample template from our gallery
Content and information via the Website Input Form
Content Development:
We will use your book's seller description content in developing the main website pages. You can provide additional content via the input form.
Customization:
We can provide customization requests on the website design with additional charges (charges depend on the complexity of customization). Unlimited customization is not included in basic packages.
Hosting:
Websites are hosted on shared servers. FTP login credentials or direct server access is not provided to authors. All website maintenance and updates should be requested through the support team.
14. Video Trailer Service
Trailer Development:
If included in your package, we develop professional video trailers for your book for use on social media, YouTube, and other promotional channels.
Your Inputs:
You will be asked to submit a Video Trailer Input Form with the following information:
Caption text for up to 7 slides (brief, engaging descriptions)
Key selling points and book highlights
Any specific themes or moods you'd like conveyed
Video Production:
Our video production team will create the trailer using:
Your provided caption text
Professional images and visual elements (selected by our team)
Background music and sound effects (selected by our team at their discretion)
Customization:
You may request customization of the trailer (music, visuals, pacing) with additional charges (charges depend on the extent of customization). The initial trailer is created based on our creative team's vision with your caption guidelines.
15. Content Ownership & Rights
Author Ownership:
You retain full copyright ownership of your manuscript content and published book. Penray Publication retains the right to publish, distribute, promote, and sell your book as per the selected publishing agreement.
Design & Service Ownership:
Design elements (cover design, interior typesetting, website design, video trailer) created by Penray Publication remain our intellectual property. You receive a license to use these designs in connection with your published book only.
16. General Terms & Conditions
Agreement Acceptance:
By making payment and submitting your manuscript to Penray Publication, you acknowledge that you have read and agreed to all terms and conditions outlined in this Process & Information document, as well as our Terms of Use, Privacy Policy, and Shipping Policy.
Non-Refundable Payment:
Please note that publishing charges are generally non-refundable. Refunds may be provided only in cases explicitly specified in our Refund Policy and only if requested before manuscript submission.
Changes & Updates:
Penray Publication reserves the right to update or modify this Process & Information document, service offerings, and terms at any time. Changes will be effective immediately upon posting to the website.
